Sightsavers is Seeking a Legacy Administrator – Apply before 7 December 2025

Location: Haywards Heath, United Kingdom (Hybrid: 2–3 days per week on-site)
Contract: Permanent, Full-Time
Salary: £30,000–£34,000

Overview

Sightsavers is a leading international organisation working across more than 30 countries in Africa and South Asia to eliminate avoidable blindness and advance the rights of people with disabilities. The organisation is recruiting a Legacy Administrator to support the effective management of legacy income and ensure seamless administrative processes within the Legacy Team.

The role requires a proactive, detail-oriented individual capable of managing multiple priorities while maintaining accuracy, professionalism, and compliance with Sightsavers’ policies and procedures.

Core Responsibilities

The Legacy Administrator will contribute to the smooth and compliant operation of legacy processes by:

Legacy and Administrative Support

  • Processing incoming legacy correspondence daily, including scanning and uploading documentation to the First-Class database.
  • Monitoring the legacy inbox, responding to calls and emails, and maintaining electronic filing systems.
  • Processing all legacy income, ensuring correct allocation through close coordination with the Database Team.
  • Managing a personal caseload of pecuniary legacies in the UK and Ireland, liaising with executors and solicitors (training provided).
  • Issuing formal income receipts and ensuring timely documentation.

Stakeholder Engagement

  • Building productive relationships with co-beneficiary charities.
  • Liaising with external professionals, with support, to minimise costs and identify opportunities.
  • Communicating effectively with internal teams to maintain seamless operational processes.

Data and Record Management

  • Maintaining and updating the legacy database with new notifications and relevant case details.
  • Ensuring all data entries comply with GDPR and internal governance standards.

Team Support and Coordination

  • Supporting weekly team meetings, including preparing agendas.
  • Providing cover for colleagues during periods of annual leave.
  • Contributing to wider Legacy Team functions as needed, demonstrating flexibility and collaboration.

Skills and Experience Required

Essential

  • Proven administrative experience, ideally within fundraising, finance, or charity environments.
  • Working knowledge of database systems and confidence using them.
  • Familiarity with GDPR requirements and responsible data handling.
  • Demonstrable customer service experience via telephone and email.
  • Strong communication skills, with the ability to remain calm and professional under pressure.
  • High attention to detail, accuracy, and excellent time-management capabilities.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Ability to work collaboratively and flexibly within a team environment.
  • Commitment to equality of opportunity for people with disabilities.

Desirable

  • Experience in legacy administration or charity sector environments.
  • Knowledge of fundraising processes.
  • Advanced database management skills.
  • Ability to adopt an empathetic approach when dealing with supporters, solicitors, and bereaved families.
