About the Position
CIVIC is seeking a proactive, solutions-driven Institutional Partnerships Officer to grow and strengthen our portfolio of institutional donors. Working within the Development team and focusing on an assigned geographic region, the Officer will help secure funding through high-quality concept notes and proposals, strategic partnership cultivation, and robust donor intelligence.
This role collaborates closely with program teams across Africa, the Middle East, and Ukraine, as well as finance and technical units—translating program ideas into competitive submissions. The Officer will also support prospecting, capture planning, and donor engagement strategies to position CIVIC for new funding opportunities.
This position is based in Brussels, Belgium, working within a high-performing, globally dispersed team of fundraising professionals.
Key Responsibilities
Funding Strategy and Opportunity Development
- Identify and assess new institutional funding opportunities.
- Initiate and coordinate internal bid approvals with relevant stakeholders.
- Lead capture planning for assigned geographies.
Proposal Development
- Coordinate and draft top-tier concept notes and proposals.
- Guide project design processes, gather inputs across teams, and ensure compliance with donor expectations, deadlines, and competitive standards.
Donor Intelligence & Data Management
- Conduct research on donor landscapes, funding trends, and decision-making structures.
- Maintain donor data and proposal records using Salesforce and related platforms.
- Compile and share relevant intelligence for internal teams.
Donor & Partner Engagement
- Map potential partners and competitors to inform consortium decisions.
- Support and expand donor communication strategies.
- Prepare and coordinate donor meetings and events.
Contracting & Award Handover
- Support contract reviews and negotiations with institutional donors.
- Ensure seamless handover to program teams after award signature, clearly communicating donor requirements and compliance standards.
Internal Collaboration
- Cultivate strong working relationships across departments and regions.
- Contribute to organizational discussions on strategy, operations, and transparency.
Qualifications & Experience
- Bachelor’s degree in peace and conflict studies, international relations, international law, development, or a related field.
- Minimum 3 years of experience in nonprofit fundraising, business development, or institutional donor engagement.
- Knowledge of institutional donors—especially European and North American governments, EU and UN systems, and ideally non-traditional donors.
- Excellent writing, editing, and communication skills in English and French.
- Experience working in diverse, multicultural, and international environments across time zones.
- Strong time management, attention to detail, and ability to thrive under tight deadlines.
- Mature interpersonal skills with the ability to build cooperative relationships internally and externally.
- Proficiency with Microsoft Office or Google Workspace; Salesforce or other CRMs desirable.
- Familiarity with donor research tools, databases, and search platforms.
Additional Details
- International travel: Up to 20%.
- Tentative start date: January 5, 2025.
- Work model: Hybrid (up to 3 days/week remote).
