The Agency for Technical Cooperation and Development (ACTED) is inviting qualified and motivated candidates to apply for the position of Transparency & Compliance Intern, based in Nairobi, Kenya. Purpose of the Role
The Transparency & Compliance Intern will support ACTED’s Compliance Department in ensuring that internal policies, donor regulations, and global best practices are followed consistently. The intern will play a vital role in documentation management, internal and external audit preparation, risk identification, and capacity building with implementing partners.
This position provides a valuable learning experience for individuals seeking to build a career in finance, compliance, internal auditing, or nonprofit administration. It is designed to provide practical exposure to real-world compliance operations within a dynamic humanitarian organization.
Key Responsibilities
1. Compliance – FLAT Procedures and Documentation
- Assist in ensuring adherence to ACTED’s FLAT (Finance, Logistics, Administration, and Transparency) procedures.
- Support the review of internal documentation through tools such as FLA02 (monthly compliance reports) and FLA05 (review of invoices and quotes).
- Help maintain the completeness and accuracy of FLAT files on the Archive 2.0 system.
2. External Audit Preparation
- Assist in preparing for donor and external audits by organizing and reviewing support documentation.
- Work closely with the Senior Transparency & Compliance Officer to identify and mitigate risks.
- Support the implementation of audit recommendations and ensure all audit materials are correctly archived.
3. Internal Audit Support
- Participate in spot checks and internal audits as needed.
- Help prepare audit Terms of Reference and checklists.
- Contribute to the drafting of internal audit reports and track the implementation of recommendations.
4. Documentation and Reporting
- Maintain and organize compliance documentation, including partner files and FLAT folders.
- Support the preparation and monthly update of the Monthly Compliance Report (MCR).
- Monitor the status of audit recommendations and ensure follow-up.
5. Implementing Partner Oversight
- Assist in conducting due diligence and financial reviews of implementing partners at the request of the Senior Officer.
- Prepare quality reports with actionable recommendations.
- Ensure proper archiving and completeness of partner documentation.
- Support quarterly risk mitigation follow-ups and capacity-building efforts with local partners.
6. Additional Support
- Undertake any other tasks as assigned by the supervisor in line with the department’s objectives.
Key Deliverables
- Timely updates and accurate maintenance of FLAT documentation and project folders.
- Monthly compilation and submission of compliance report annexes.
- Contribution to audit preparation and adherence to donor compliance requirements.
- Quality reporting on financial reviews and due diligence assessments of implementing partners.
- Effective communication and teamwork with internal departments and external stakeholders.
Required Qualifications and Competencies
- A recently completed degree in Finance, Accounting, Business Administration, or a related field.
- Strong analytical and organizational skills.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Attention to detail and the ability to work with minimal supervision.
- Basic knowledge or keen interest in compliance, auditing, or risk management in the humanitarian or nonprofit sectors.
