Position Overview
The Stimson Center is seeking a Program Assistant to provide critical administrative, logistical, and project support for the Protecting Civilians and Human Security Program. This position will report directly to the Senior Fellow & Director of the program and will play a key role in ensuring smooth program operations that align with Stimson’s mission, values, and strategic objectives.
The ideal candidate will be organized, proactive, collaborative, and mission-driven, with a keen interest in international affairs and human security. This is an excellent opportunity for someone looking to develop a career in policy research, nonprofit management, or international development.
Key Responsibilities
- Provide day-to-day administrative support to program staff, including maintaining calendars, scheduling meetings, tracking project timelines, and coordinating with internal and external stakeholders.
- Assist in managing project deliverables and reporting requirements for grants and publications.
- Organize and support virtual and in-person events, including booking venues, sending invitations, coordinating RSVPs, arranging catering, and serving as the primary contact for attendees.
- Facilitate domestic and international travel for program staff and partners, ensuring compliance with funder and organizational requirements. Responsibilities include making travel bookings, processing relevant authorizations, and reconciling expenses.
- Support communication and outreach efforts by maintaining contact databases, executing email campaigns, and liaising with media or partner organizations.
- Contribute to funder reporting, internal documentation, and process improvements as needed.
- Perform other administrative duties as assigned by program leadership.
Required Qualifications
- Ability to work independently and collaboratively within a team setting.
- Strong organizational and communication skills, with the capacity to manage multiple tasks and deadlines.
- Demonstrated experience in event planning and administrative support, particularly in an international or nonprofit context.
- Diplomatic and culturally sensitive approach to working with global stakeholders, including flexibility to accommodate different time zones.
- Problem-solving mindset and a collaborative spirit.
Preferred Qualifications
While not required, the following qualifications will be considered a strong asset:
- Bachelor’s degree in Political Science, International Relations, Business Administration, or a related field.
- Previous experience in an administrative role, such as Executive or Administrative Assistant.
- Familiarity with CRM tools, especially Salesforce, and accounting software such as Anybill.
- Experience managing social media platforms, campaign calendars, and digital outreach strategies.
- Proficiency in Microsoft Office, Google Suite, SharePoint, and other collaborative tools.
- Understanding of project budgeting, financial tracking, and accounting principles.
- Experience with international travel logistics, including visa requirements, itinerary planning, and reimbursements.

Terms and Benefits
This is a full-time position based in Washington, DC. The role is funded for an initial nine-month term, with the possibility of extension based on performance and available funding.
