Cultural Survival is Hiring: Program Assistant – Keepers of the Earth Fund

Location: Remote — preference for candidates in Brazil, Angola, Cape Verde, Guinea-Bissau, Mozambique, São Tomé and Príncipe, Equatorial Guinea
Schedule: Full-time, 35 hours/week

Guided by the United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP), Cultural Survival partners with communities in more than 70 countries to advance Indigenous sovereignty, knowledge systems, and cultural resilience.

Position Overview

Cultural Survival seeks a detail-oriented and collaborative Program Assistant to join its Keepers of the Earth Fund team. This is a dynamic opportunity to support grantmaking, administration, and coordination efforts that uplift grassroots Indigenous initiatives.

The Program Assistant will work closely with grantee partners, internal teams, and regional allies to provide logistical, administrative, and data support. Their contributions will ensure Indigenous-led projects are effectively resourced and documented while honoring self-determined development and cultural integrity.

Key Responsibilities

Administrative & Program Coordination

  • Prepare and process grant agreements, contracts, and amendments.
  • Conduct due diligence and sanctions list checks on grantee organizations.
  • Coordinate calendars and meetings across time zones.
  • Document meeting minutes and track action items.
  • Organize digital files, reports, and grant records.
  • Support travel arrangements for team site visits and events.

Grantmaking Support

  • Assist throughout the grant lifecycle: intake, review, follow-up, and reporting.
  • Maintain communication with grantees via email, WhatsApp, or phone.
  • Track submissions of narrative and financial reports.
  • Support internal review processes and summarize application data.
  • Review grantee reports in coordination with finance and program teams.

Database & Information Management

  • Update KOEF databases with accurate, tagged grant data.
  • Track thematic and geographic data for strategic reporting.
  • Contribute to program dashboards and internal reporting processes.

Cross-Team Support

  • Provide logistics support to other departments as needed.
  • Help prepare newsletters, presentations, and other communication materials.
  • Promote respectful, multilingual communication across the team and partners.

Organizational Engagement

  • Participate in internal meetings, cross-program groups, and retreats.
  • Promote Cultural Survival’s values of equity, solidarity, humility, and mutual respect.
  • Support learning, feedback, and continuous improvement across programs.

Qualifications

  • Minimum 2 years in nonprofit or administrative support roles.
  • Excellent organizational and communication skills.
  • Fluent in English and either Portuguese or French.
  • Comfortable working remotely across multiple time zones.
  • Familiarity with Microsoft Office, Google Workspace, Zoom, and online databases.
  • Experience with travel logistics and document handling.
  • Willingness to travel to rural or remote areas if required.

Preferred

  • Experience in grantmaking or contract processing.
  • Familiarity with Indigenous rights, community-led initiatives, or grassroots movements.
  • Basic document translation or interpretation (English ↔ Portuguese/French/Spanish).
  • Fluency in an Indigenous language is a strong asset.
  • Confident public speaker or presenter.
  • Culturally responsive and proactive in team settings.

Technical Requirements

  • Reliable internet connection and home workspace.
  • Digital literacy and openness to learning new systems.

Compensation & Benefits

Salaries are locally adjusted based on the cost of living in the country of residence. Reference salary ranges for this Assistant-level role:

  • Brazil: $12,500–$15,000 USD
  • Mozambique / Equatorial Guinea / Cape Verde: $10,400–$12,400 USD
  • Angola: $10,000–$12,000 USD
  • São Tomé and Príncipe / Guinea-Bissau: $8,500–$10,500 USD
