Role Overview
The Complex Assistant supports the effective operations of the Vice-President’s Office within any of the Bank’s complexes. This role ensures seamless administrative processes, contributing directly to the success of Bank initiatives through strong organizational support, communication, and resource coordination.
Key Responsibilities
Workflow and Document Management
- Develop and maintain efficient office systems for managing documents.
- Monitor and follow up on correspondence, emails, and internal memos.
- Distribute documentation from the Vice President’s office and ensure timely follow-up.
Administrative Support
- Manage the Vice-President’s schedule, including meetings, travel, appointments, and events.
- Prepare briefing materials such as agendas, minutes, and background papers.
- Coordinate logistics for official travel, visa arrangements, accommodation, and escorting the Vice President when needed.
- Handle internal and external queries, screen calls, welcome visitors, and manage diaries.
Resource and Budget Management
- Prepare and process expense reports.
- Monitor budget and resource usage, raising any concerns with the Vice President.
- Assist with administrative aspects of budget preparation and financial tracking.
Analytical and Communication Support
- Draft letters, reports, spreadsheets, presentations, and briefing materials.
- Record meeting minutes, perform background research, and prepare summaries.
- Liaise with clients, staff, and other Vice-Presidencies to ensure consistent communication and collaboration.
Required Qualifications and Skills
- Master’s degree or equivalent in Business Management, Administration, or related field.
- At least 5 years of relevant administrative experience, preferably in an international or high-level executive office setting.
- Experience in international organizations or private sector is an advantage.
- Strong organizational, multitasking, and time management skills.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Access), SAP, and document management systems.
- Excellent verbal and written communication skills in English or French; working knowledge of the other language is highly desirable. Additional languages (Arabic, Portuguese) are an asset.
- Demonstrated discretion, initiative, team spirit, intercultural sensitivity, and the ability to work under pressure.
- Solid understanding of office support systems and administrative procedures.
