Position Summary
AHF is seeking a qualified Operations Officer to oversee and manage operational and administrative activities for our Kenya Program in the Coast Region. This role is central to ensuring the smooth functioning of supply chain systems, logistics, asset and facilities management, transport and fleet coordination, and operational risk mitigation. The successful candidate will be based in Mombasa and will work closely with the Operations Manager and the Regional Medical Director (RMD) to support service delivery across AHF’s healthcare facilities in the region.
Key Responsibilities
- Provide operational support and coordination for the planning, development, and implementation of AHF Kenya programs in the Coast Region.
- Lead and manage key operational functions including supply chain, transport and fleet, asset management, security, office administration, and estate management.
- In collaboration with the Operations Manager, maintain an up-to-date database of regional suppliers and service providers, ensuring timely procurement and delivery of goods and services.
- Oversee management of AHF facilities in the region, ensuring timely maintenance, renovations, and supervision of construction activities.
- Coordinate regular servicing and repairs of equipment and report any operational shortfalls to the supervisor.
- Manage the submission of assets for insurance coverage and monitor due dates and policy compliance.
- Ensure the safety and security of staff and physical assets across all AHF regional facilities.
- Monitor and update the Fixed Asset Register, track asset movement, and coordinate asset disposals in line with policy.
- Support internal and external audits in the region and facilitate the implementation of audit recommendations.
- Coordinate timely payment of rent, renewal of contracts, Memorandums of Understanding (MoUs), and licenses.
- Ensure timely collection and submission of timesheets from relevant staff.
- Oversee monthly stock taking and submit detailed reports to the Operations Manager and Finance Officer.
- Manage vehicle maintenance schedules, fleet movements, fuel card usage, and analyze fuel consumption data for discrepancies.
- Identify and mitigate operational risks by developing and implementing risk management strategies in compliance with AHF guidelines.
- Provide leadership and mentorship to regional administrative staff including drivers and maintenance personnel.
- Participate in general staff meetings, regional operational meetings, and provide administrative support and communication across teams.
- Perform any other duties assigned by the Operations Manager or Regional Medical Director.
Qualifications and Experience
- Bachelor’s degree in Supply Chain Management, Procurement and Logistics, Business Administration, Marketing, or a related field from a recognized institution.
- Minimum of 3 to 5 years of experience in operational roles, preferably within NGOs or healthcare organizations.
- Demonstrated experience in managing regional operations, including procurement, logistics, asset management, and administrative support.
- Strong organizational, planning, and IT skills; proficiency in Microsoft Word, Excel, PowerPoint, internet research, and email communication.
- Ability to work effectively under pressure and manage multiple tasks in a fast-paced environment.
- Membership in professional bodies such as the Chartered Institute of Purchasing and Supply (CIPS), Chartered Institute of Logistics and Transport (CILT), or ACCA is an added advantage.
