Hivos is Hiring a Project Assistant (Remote, Global & Up to €3,757.56 gross per month): Apply by 15 May 2025

Key Responsibilities

1. Project Administration and Financial Support

  • Enter and process financial and administrative data into Hivos’ project management system.
  • Initiate and monitor project payments, ensuring compliance with internal procedures.
  • Track reporting schedules and requirements, coordinating with relevant stakeholders to ensure timely submissions.

2. Logistical and Event Coordination

  • Organize and coordinate travel arrangements, meetings, and events for project teams and partners.
  • Manage logistics for workshops, conferences, and donor meetings, ensuring all arrangements are in place.
  • Assist in the preparation and dissemination of meeting materials and agendas.

3. Administrative Support

  • Maintain departmental schedules, coordinating meetings and appointments.
  • Prepare and distribute minutes and notes from meetings, capturing key takeaways for implementation.
  • Support the department with various administrative tasks as needed.

4. Communication and Stakeholder Engagement

  • Serve as a point of contact for internal and external stakeholders regarding project-related matters.
  • Ensure effective communication and follow-up on project activities and deliverables.
  • Assist in the preparation of reports, newsletters, and other communication materials.

5. Quality Improvement and Process Enhancement

  • Identify opportunities to improve work processes and contribute to quality improvement initiatives within the organization.
  • Participate in training and capacity-building activities to enhance project management skills.

Candidate Profile

We are looking for a candidate who demonstrates the following qualifications and attributes:

  • Education: Relevant secondary vocational education or higher.
  • Experience: At least one year of professional experience in project assistance and administration, preferably within an international development context.
  • Language Skills: Fluency in English is essential; proficiency in Dutch is advantageous.
  • Technical Skills: Proficiency in Microsoft Office Suite and experience with project management software.
  • Personal Attributes:
    • Strong organizational and multitasking abilities.
    • High level of integrity and professionalism.
    • Excellent cross-cultural communication skills.
    • Proactive and solution-oriented mindset.
