Organizational Context
The Associate Project Support Officer position is part of the Enterprise Business Capabilities Section in the Enterprise Solutions Division (ESD), within the Information and Communication Technology (ICT) Department of the World Intellectual Property Organization (WIPO). WIPO is responsible for the development and maintenance of its portfolio of ERP administrative and management systems, known collectively as the Administrative Integrated Management System (AIMS).
As part of the ongoing AIMS 2.0 Transformation project, this position plays a crucial role in supporting the migration of WIPO’s existing applications to cloud platforms, as well as assisting in the modernization of the entire applications landscape. The role focuses on providing assistance in project management, documentation, and coordination tasks to ensure the project is delivered within its cost, time, and quality objectives.
Purpose and Responsibilities
The Associate Project Support Officer will support the AIMS 2.0 Transformation Project Manager in the day-to-day activities of the project. The primary duties include:
- Monitoring Project Progress:
The officer will assist in monitoring various aspects of the project, identifying challenges, proposing solutions to expedite delivery, and tracking follow-up actions. - Project Planning and Scheduling:
Assisting in the preparation and maintenance of realistic project schedules and quality plans while tracking activities to ensure that project milestones are met. - Project Documentation:
Ensuring that all project management documentation is consistently created, updated, and made accessible to stakeholders throughout the life cycle of the project. - Stakeholder Engagement:
The officer will help in preparing communication and training materials, as well as providing administrative and substantive support for project meetings, including logistics, drafting meeting minutes, and preparing presentations. - Reporting and Administrative Support:
Contributing to the preparation of project reports, background papers, project revisions, and budget assessments. Administrative tasks will also include preparing and circulating project updates to stakeholders.
Required Qualifications
Education (Essential):
- A first-level university degree in business administration, finance, human resources management, IT, computer science, or a related discipline.
Education (Desirable):
- Certification in project management methodologies such as PRINCE2, Agile, or PMI.
- Certification in Program Management (MSP) is also desirable.
Experience (Essential):
- At least three years of relevant professional experience, specifically in supporting the management of projects using industry-standard methodologies such as project planning and control techniques, including budget control.
Experience (Desirable):
- Experience in managing medium-scale IT projects or programs.
- Experience working with ERP systems or similar administrative management tools.
Languages (Essential):
- Excellent knowledge of written and spoken English.
Languages (Desirable):
- Proficiency in other UN languages (Arabic, Chinese, French, Russian, or Spanish) is an advantage.
Skills and Competencies
- Organizational Skills: The ability to manage multiple tasks efficiently within strict deadlines.
- Project Planning and Execution: Skills in planning, executing, and evaluating projects to meet time, cost, and quality targets, including assessing and managing risks.
- Analytical Skills: Strong ability to analyze data, evaluate impacts, and provide insights for decision-making.
- Stakeholder Engagement: Excellent interpersonal and communication skills, with the ability to establish effective working relationships across departments and with external consultants.
- Knowledge of Business Models: A solid understanding of various business and operating models, including hybrid models, is important.
- IT Proficiency: Competency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and internet tools for research and communication.

- Mobility Requirement: Staff members are international civil servants and may be required to be reassigned to different functions or duty stations.
- Salary: The total annual salary is estimated at $87,454 USD, which includes a net salary and post adjustment. The exact salary may vary based on the exchange rate and location.
