Position Overview: Human Resources Assistant at Unitaid
Unitaid is a global health initiative hosted by the World Health Organization (WHO) that focuses on accelerating the introduction and adoption of life-saving health products. Its work spans key health areas such as HIV/AIDS, tuberculosis, malaria, and maternal and child health. Unitaid aims to drive systemic change by making health products more affordable and accessible, particularly in low- and middle-income countries, while promoting partnerships for innovation and inclusivity.
WHO is seeking a Human Resources Assistant to join our team, reporting directly to the Human Resources Officer. This role provides a unique opportunity to support HR operations in a dynamic international organization working at the intersection of health and development.
Key Responsibilities:
As the Human Resources Assistant, you will be responsible for a range of HR functions:
1. Staff Learning & Development:
- Develop and maintain Unitaid’s annual training catalogue.
- Coordinate with the WHO Career Development and Learning Department to monitor training needs and track completed training.
- Liaise with external training providers (such as UNOG’s Centre for Learning, UNSSC) to organize training for staff.
- Gather feedback from staff on training experiences and identify further development needs.
- Ensure that training records are up to date and in compliance with mandatory training requirements.
2. Recruitment Support:
- Collaborate with the HR Officer to initiate recruitment actions, including creating job posts and advertising vacancies.
- Assist recruitment panels with administrative tasks during selection processes.
- Manage consultant requests and contracts, including rate analysis and requisition creation in HR systems (GSM, Stellis).
- Support the onboarding process for new staff, coordinating with other departments (e.g., IT, reception) to ensure all logistics are in place.
3. HR Data Management:
- Manage complex HR data, update tracking sheets, and prepare HR reports for key stakeholders (Executive Board, donors, etc.).
- Maintain accurate, up-to-date digital staff records.
- Prepare regular updates and reports on recruitment activities and staff management.
4. HR Communication:
- Develop and manage HR communication tools (e.g., newsletters, announcements, SharePoint).
- Create presentations and reports on HR metrics and changes within WHO and Unitaid.
- Participate in staff engagement activities and assist with communication of HR updates.
5. Additional HR Support:
- Provide general administrative support for various HR functions, ensuring accuracy and compliance with WHO policies.
- Perform other duties as assigned by the supervisor.
Required Qualifications:
Education:
- Essential: A Bachelor’s degree in Psychology, Management, Business Administration, or a related field.
- Desirable: A Master’s degree in any of the above fields.
Experience:
- Essential:
- At least one year of experience in human resources management and administration.
- Experience in staff learning and development.
- Experience in managing complex HR data.
- Familiarity with communication in HR.
- Experience with ERP systems (Oracle, Taleo, etc.).
- Desirable: Experience with HR processes within UN organizations.
Skills:
- Knowledge of HR policies and procedures.
- Strong communication and interpersonal skills.
- Excellent organizational and problem-solving abilities.
- Ability to prioritize tasks and manage multiple responsibilities.
- Strong reporting and analytical skills.
- Fluent in English; proficiency in French is a plus.

Remuneration:
The position offers an annual base salary starting at USD 39,401 (subject to mandatory deductions). Additional benefits include a post adjustment (USD 3,129 per month), 30 days of annual leave, allowances for dependent family members, home leave, and an education grant for dependent children.
