POSITION SUMMARY
Equality Now is seeking a highly qualified Project Coordinator to help to maintain organization’s effectiveness in managing our campaigns/projects through creating timetables, scheduling, grant/campaign planning, budgeting grant and program implementation and tracking. The ideal candidate will demonstrate experience in ensuring efficient administration of calendars, timelines, budgets, work plans, results frames, M&E and impact tracking data, donor compliance requirements, documentation, and data management.
Objectives of this role
Support the effective and efficient management of campaigns throughout the project lifecycle. the project Coordinator is responsible for:
- Support project activities by identifying schedules, scopes, and budget estimations and communicating these to program team members.
- Coordinate internal and external resources to ensure projects adhere to scope, schedule, and budget.
- Support efficient development and implementation of grants by tracking work plans, budgets, spending and progress.
- Work closely with Campaign and Global Thematic Leads, the Global Budgeting and Reporting Manager, and the Global Grants and Compliance Officer to manage day-to-day project budgets.
- Plan and monitor budget progress against work plans in compliance with donor contracts and EN procedures.
- Collaborate with finance staff to plan and monitor grant expenditures and prepare grant-specific procurement plans
- Set up and analyze burn rate reports and escalate issues as necessary.
- Ensure the preparation of financial reports in line with narrative reports as per grant agreements.
- Establish and maintain relationships with internal stakeholders, providing day-to-day contact on project expenditures and progress changes.
Roles and responsibilities
Individual:
- Oversee and ensure smooth day-to-day logistics of activities (including scheduling activities and managing calendars) for assigned campaigns and effectively manage administrative tasks for associated regional teams;
- ensure timely development of quarterly milestones in the campaign trackers, and indicators in assigned results frames;
- track performance against milestones and indicators in assigned campaign trackers for the region, are required monthly, quarterly, annually and as per grant agreement;
- communicate with the Regional Coordinator and Senior Legal Advisor as well as Communications, Program, Finance, and Development teams to ensure campaigns remain on track;
- manage funds earmarked for activities throughout the relevant campaigns and ensure appropriate use;
- oversee and manage back-end logistics of regional campaigns/grant efforts (e.g., implementation timelines, development and tracking of milestones and activities, managing funds,expenses, budgets, and resources (including human resources), etc.) in the region;
- ensure funds are earmarked for implementation and managed and appropriately recorded to meet funding and reporting requirements;
- report and fill in activity,meeting and event outputs and outcomes to Monday.com boards and impact teams as they are concluded;
- regularly communicate with the program team, and Regional Coordinator or Senior Legal Advisor to ensure grants and campaigns remain on track including raising any risks.Â
Shared:
- Raise at-risk milestones to the Africa team – Regional Coordinator and Senior Legal Advisor to address and resolve in a timely manner;
- work with Development and Finance teams to ensure appropriate funds are earmarked for implementation & reported appropriately;
- work with Program and Finance teams to ensure planned activities and appropriate funding/resources are aligned.
Decision rights
Responsible for:
- Overseeing and ensuring smooth day-to-day on the ground logistics for campaigns and grants in the region
- Identifying the need for additional resources and requests as needed
- Managing and recording funds allocated for campaign activities in project tracking tools
- Supporting the Program team to secure quotations on services such as hotels, and airfares, in line with the Procurement Policy.
- Supporting recruitment and coordinating the work of project staff involved in grant implementation.
- Following organizational and grant policies in the procurement and management of goods purchased for grants.
- Collaborating with the Global Coordinator of Subgrants and Partnerships to ensure subgrant project implementation adheres to deadlines

Accountable for:
- Monthly reports to SLT about progress on activities and budgets
- Ensuring smooth operations (logistics, time management, budget tracking) of programs and campaignsÂ
- Ensuring results frame indicators remain on track for completion
- Ensuring results frame indicators at risk for completion are addressed & brought back on trackÂ
- Ensuring campaign tracker milestone are reported on time, and that adaptations to strategy are recorded to explain why and new milestonesÂ
Consulted for:
- Progress of campaign activities & budgets for audits as required
Informed by:
- Program and region teams on strategic objectives and planned regional activities
Required skills and qualifications
- Knowledgeable in project management methods, tools, software, & processes
- Ability to multitask, manage time & resources effectively across a portfolio of ongoing efforts with attention to detail and ability to deliver in a fast-paced work environment
- Strong leadership, management & comms skills and problem solving capabilities
- Proactively identifies & mitigates challenges and risks
- Adaptable & flexible to changing needs / requirements
- Four or more years of project administration and finance proven experience, particularly with projects funded by bilateral and multilateral donors
- Experience and confidence in using web technologies and software platforms i.e. Competency in accounting and budget management, grants and compliance management platforms
- Experience and confidence in using digital project management toolsÂ
- Strong attention to deadlines and budgetary guidelines
- Proven success working with all levels of management of an organization
- Demonstrable clear written, visual and verbal communication skills, with the ability to communication and interact with multicultural and multi level actors
- Excellent presentation skills
Preferred skills and qualifications
- Professional certification such as PMP or PRINCE2
- Experience in developing tools for internal processes
- Good communication skills and can interact with multicultural and multi-level actors
- Languages spoken:, French and KiSwahiliÂ
- Monitoring and evaluation experience, and working with results frames
