MedGlobal is a global humanitarian non-profit organization providing medical and health education services to people in need, including refugees and displaced persons, in disaster and underserved regions. JOB SUMMARY
We are seeking a highly motivated and organized Event Coordinator to join our team. The Event Coordinator will plan, organize, and execute events that support MedGlobal’s mission and fundraising goals. This role requires excellent communication skills, attention to detail, and a passion for humanitarian work. The Event Coordinator will collaborate with the development team, volunteers, and external partners to ensure event success. Responsibilities include planning fundraising events, galas, and conferences, as well as managing community outreach, volunteer coordination, and stakeholder engagement.

MAIN DUTIES AND RESPONSIBILITIES

Event Planning and Coordination:

  • Plan and coordinate a variety of events, including fundraising galas, community outreach events, conferences, and donor appreciation events.
  • Develop event concepts, themes, and formats that align with MedGlobal’s mission and objectives.
  • Create detailed event plans, agendas, programs, timelines, and budgets, ensuring all logistical aspects are covered.
  • Identify and secure event venues, negotiate contracts, and manage relationships with vendors.
  • Coordinate with vendors, venues, sponsors, and partners to secure necessary resources and services.
  • Oversee event setup, execution, and breakdown, ensuring all aspects are handled efficiently and professionally.
  • Manage event registration, attendee management, and on-site event logistics.
  • Develop and maintain relationships with sponsors, donors, and community partners.
  • Conduct post-event evaluations to assess event success and areas for improvement.
  • Maintain accurate records and generate reports on event outcomes and financial performance.

Community Outreach:

Develop and implement community outreach strategies to build and maintain relationships with local organizations, businesses, and community members.

  • Represent MedGlobal at community meetings, events, and networking opportunities to raise awareness about our mission and programs.
  • Identify and engage potential donors, sponsors, and partners within the community to support event initiatives.

Volunteer Management:

  • Recruit, train, and manage volunteers to support various aspects of event planning and execution.
  • Develop volunteer roles and responsibilities, ensuring volunteers are effectively utilized and appreciated.
  • Coordinate volunteer schedules, assignments, and communication to ensure a positive and productive volunteer experience.

Fundraising and Development:

  • Collaborate with the development team to create and implement fundraising strategies for events.
  • Assist in the development of sponsorship packages and donor communications.
  • Track and report on event fundraising progress, providing insights and recommendations for improvement.

Marketing and Promotion:

  • Work with the marketing team to develop and execute event promotion plans, including social media, email campaigns, and print materials.
  • Ensure consistent and effective communication with event attendees, donors, volunteers, and partners.
  • Manage event registration, ticketing, and attendee communications.

QUALIFICATIONS AND SKILLS:

  • Bachelor’s degree in Event Management, Communications, Nonprofit Management, or a related field.
  • 2+ years of experience in event planning, fundraising, or nonprofit sector.
  • Proven ability to plan and execute successful events, manage budgets, and coordinate logistics.
  • Excellent organizational, multitasking, and time-management skills.
  • Strong communication and interpersonal skills, with the ability to build and maintain relationships.
  • Experience in volunteer management and community outreach.
  • Proficiency in Microsoft Office Suite, event management software, and social media platforms.
  • Passion for MedGlobal’s mission and commitment to making a difference in the community.

Preferred Qualifications:

  • Experience with CRM software and donor management systems.
  • Familiarity with grant writing and sponsorship development.
  • Ability to work flexible hours, including evenings and weekends, as needed for events.
