We are seeking an experienced administrative professional to join our growing team at an exciting moment in the organization’s trajectory. Following a period of rapid growth and a recent leadership transition, WEI recently adopted a new strategic plan to guide the organization’s work over the next 5 years.
The Operations Associate is a key player in ensuring organizational efficiency and the pursuit of WEI’s strategic goals. The dynamic nature of the role, involving diverse responsibilities, collaboration with various departments, and touchpoints with key external stakeholders, positions the Operations Associate to contribute meaningfully to WEI’s mission while developing a deeper understanding of the operations and management of a growing global NGO. ESSENTIAL DUTIES AND RESPONSIBILITIES
The Operations Associate reports to the Director of People & Culture and Operations and works closely with the People & Culture and Operations Department staff to provide administrative support in the daily operations of Women Enabled International (WEI) with a particular emphasis on core mission functions. This role involves assisting with administrative tasks, supporting operational processes, and contributing to the effective functioning of the organization. The Operations Associate provides crucial support in maintaining organizational efficiency across departments in their operational needs to help ensure that core mission work is effectively delivered in line with WEI’s strategic priorities.
Key responsibilities include:
- Coordinate with core mission leadership and staff to identify and prioritize necessary administrative support to advance the effective functioning of core mission departments.
- Provide travel, logistics, and technology support for staff and partners for remote and in-person meetings and events, diversity, equity, inclusion, justice, and accessibility (DEIJA) initiatives, trainings, webinars, and workshops; interfacing with third-party coordination assistance, translation and interpretation services, and other vendors as required.
- Manage accessibility services for the organization, including virtual and in-person meetings and events, mobility device rental, ground transportation coordination during travel, etc.
- Responsible for management of the payments inbox, communication with individual staff and partners regarding payment status, reviewing payment requests, and data entry and maintenance of individual payments database.
- Support efforts to implement operational procedures to improve efficiency.
- Contribute to the data entry and maintenance of WEI Team electronic files, operational records, and databases using technology and platforms such as Microsoft applications, Airtable, Dropbox, etc.
- Assist with data entry and maintenance of contact profiles in the organizational CRM system.
- Assist with identifying and recording relevant data to inform continuous learning and improvement related to the delivery of WEI’s core mission work.
- Assist in scheduling and coordinating internal and external meetings, including disseminating agendas and taking minutes.
- Help manage email correspondence and respond to inquiries via general inboxes and voicemail.
- Support the team in the preparation of documents and presentations by contributing to editing, proofreading, copyediting, and translations of organizational documents, as required.
- Support the team in getting new resources on WEI’s website and liaise with the Communications department, as appropriate, to facilitate internal communications and support the dissemination of Core Mission messages, resources, campaigns, etc.
KNOWLEDGE, SKILLS AND ABILITIES
- A foundational understanding of disability- and gender-related issues, or commitment to learning about these issues.
- Comfort and familiarity with assisting in the planning and execution of international meetings and events with a focus on inclusivity and accessibility.
- Ability to manage information, records, and files using discretion with sensitive or confidential information to ensure privacy and security.
- Familiarity with technology systems including virtual meeting platforms, databases, and web-based communication tools (Microsoft applications, Dropbox, Airtable, Zoom, etc.)
- Keen attention to detail and effective time management skills, including the ability to prioritize and multitask across tasks.
- Strong communication skills and the ability to work collaboratively across teams and with external stakeholders in a remote working environment across different time zones.
- Experience in supporting program implementation, as well as a track record of contributing to successful programs.
- Proficiency in drafting, proofreading, and editing documents, emails, and reports, as well as coordinating communications and handling inquiries.
- Commitment to WEI’s mission and values, with a focus on gender and disability rights and justice.
MINIMUM EDUCATION AND EXPERIENCE
- Candidates should have a Bachelor’s degree in Administration, Nonprofit Management, Human Rights, or a related field—or the equivalent in work experience.
- Candidates should have 1-3 years of professional experience in Administration, non-profit specific experience is preferred.
- Spanish language skills are preferred.
* Annual salary is dependent on experience and reflective of a position based in our headquarters of Washington, D.C. Salary may be subjected to a locality adjustment depending on work location.
