New York Portfolios Office  (NYPO) supports the United Nations Secretariat, as well as other New York-based United Nations organizations, bilateral and multilateral partners in the delivery of UNOPS mandate in project management, infrastructure management, and procurement management.

Sustainable Development Cluster (SDC) supports diverse partners with their peacebuilding, humanitarian and development operations. It was formed by combining the following portfolios: Grants Management Services (GMS), UN Technology Support Services (UNTSS), Development and Special Initiatives Portfolio (DSIP) It provides Services to partners’ programmes that are designed, structured, and managed with a global perspective and primarily serving partners that are headquartered in New York.  The SDC has a footprint of approximately 125 countries.

UNOPS is an implementing partner of the United Nations Office of Counter-Terrorism.

The Office of Counter-Terrorism (OCT) was established by the General Assembly in June 2017. The Office has five main functions: (a) provide leadership on the General Assembly counter-terrorism mandates across the United Nations System; (b) enhance coordination and coherence across the United Nations Global Counter-Terrorism Coordination Compact Task Force entities to ensure the balanced implementation of the four pillars of the United Nations Counter-Terrorism Strategy; (c) strengthen the delivery of United Nations counter-terrorism capacity-building assistance to Member States; (d) improve visibility, advocacy and resource mobilization for United Nations counter-terrorism efforts; and (e) ensure that due priority is given to counter-terrorism across the United Nations System and that the important work on preventing violent extremism is firmly rooted in the Strategy.

The incumbent of this position will be a personnel of UNOPS under its full responsibility.

 Functional Responsibilities


Under the supervision of the Project Manager, the incumbent will be responsible for the following tasks:

  • Assist in the preparation of Purchase Orders, Contracts, LTAs or their Amendments.
  • Process invoices for goods and services delivered, ensuring accuracy, complete documentation, and timely payment. Follow up to completion and inform partners.
  • Provide administrative support to conferences, workshops, retreats.
  • Processes travel transactions (authorizations and claims), including in the OneUNOPS system for all personnel, UN officials, and visitors, ensuring compliance with UN rules and regulations.
  • Provide information on air services, rates, and travel schedules for specific itineraries.
  • Maintain unit’s documentation, including records and files, ensuring the safekeeping of confidential materials.
  • Perform other duties as may be reasonable required and in line with the incumbent’s scope of services above.

Monitoring and Progress Controls

  • Regular bilateral meetings with the supervisor and the portfolio team, along with timely and accountable delivery of services, ensure client satisfaction. This promotes the image and credibility of the team and office as effective service providers in project services and management.

 Education/Experience/Language requirements

Education:

Secondary education/High school diploma is required.University degree (Bachelor’s or Master’s), preferably in Business Administration, Public Administration or other related discipline, will be considered an asset and may substitute for some of the required years of experience.

Required Experience:

A minimum of five (5) years of relevant experience in general administrative or operations support services in national or international public or corporate organizations is required. Desirable experience (the following experience is optional candidates who do not have it are welcome to apply): 
Experience in the UN system organizations is desirable. Experience in the use of Enterprise systems, including One UNOPS, is desirable.

Language: 

  • Fluency in English is required. 
  • Knowledge of French or other UN working languages is desired.
