ISS Nairobi: Office Administration Assistant

The ISS seeks an energetic, efficient and organised individual to administer office facilities and assist with financial administration and front office management. The successful candidate will be part of the Human Resources and Administration Department and will report to the Human Resources and Office Administration Manager in the ISS Nairobi Office.

Overview of duties

  • Support general office administration
  • Manage the front office area, including visitors, calls and contact database
  • Process purchase orders and coordinate payments
  • Provide travel and logistical support to staff  
  • Manage stationery, office supplies and refreshments
  • Coordinate contractors for repairs and building maintenance
  • Arrange venue set up for events at the ISS office
  • Keep a filing/document management system

Overview of requirements

  • Kenyan citizen or valid work permit to work in Kenya
  • Diploma in business administration or relevant qualification; A BCom degree will be an advantage
  • Minimum of 3 years relevant experience
  • Excellent written and verbal communication skills
  • Fluency in English and Kiswahili is a requirement; French proficiency will be an advantage
  • Strong organising skills, including speed, efficiency and attention to detail
  • Financial administration skills
  • Ability to work independently, multitask and solve problems efficiently
  • Strong people skills, a highly professional approach and integrity
  • Ability to work with a diverse range of people
  • Computer literacy: Excel, Work, Internet, Email

The contract will be for one year and may be renewed subject to requirements, funding and satisfactory performance. A competitive salary is offered.
