This position is ideal for individuals looking for a career in administration and/or project management. Interest in issues related to organized crime and/or development is a plus, but please note that this is not a research & analysis position.
Background
The Global Initiative Against Transnational Organized Crime (GI-TOC) is an independent civil society organization, headquartered in Geneva, Switzerland, with offices in Austria, South Africa, Colombia and Malta, and a globally dispersed Secretariat working in around 40 countries. GI-TOC comprises a network of more than 500 independent global and regional experts working on human rights, democracy, governance, and development issues where organized crime has become increasingly pertinent.
GI-TOC provides a platform to promote greater debate and innovative approaches as the building blocks to an inclusive global strategy against organized crime. GI-TOC commissions and shares research globally; curates a robust resource library of 2,000 reports and tools specific to organized crime; and uses its convening power to unite both the private and public sectors against organized crime.
The Global Initiative is currently expanding its work in the Caribbean region through a dedicated Haiti Observatory.
Haiti presents one of the world’s major current crises, and requires public security, governance, economic development, and rule of law solutions.
The GI-TOC works to:
- identify, analyse and map criminal trends and shifts in regional instability, and their impact on illicit flows, governance, development, security, conflict and the rule of law; and
- connect and empower civil-society actors across the region who are looking at issues related to organized crime and corruption, and their links to instability and conflict, and
- support local stakeholders/actors in their monitoring of national dynamics and wider regional and international organized-crime and insecurity trends.
Job Summary
The Global Initiative is looking for a Project Assistant (PA) that will provide day-to-day technical, organizational, and administrative support to the Haiti Observatory with the aim to enable conformity to expected results, outputs, objectives and work-plans. The PA will work under the direct supervision of the Project Director.
Main responsibilities and specific tasks:
- Work with the Grant Management Team to compile invoices for submission and ensure compliance with GI-TOC and donor guidelines;
- Oversee procurement and contract management for research assistants;
- Manage the contact lists of project stakeholders;
- Liaise with relevant GI-TOC staff, experts and consultants to ensure submission of administrative documents and that these files are effectively stored;
- Ensure compliance with relevant regulations, policies and quality standards;
- Organize events (workshops, roundtables, etc.) including the preparation dissemination of information, and follow-up communications;
- Arrange meetings when required, including providing Zoom link and Calendar invite;
- Assist with project budget forecasting, ensuring appropriate allocation of resources;
- Manage the project workplan and ensure outputs are being met;
- Assist with travel arrangements and DSA payments for participants of events organized;
- Draft routine official correspondence/documents as per project activities needs and ensure flow of information and dissemination of materials with all concerned;
- Assist in the preparation of quarterly/annual progress and financial reports by acquiring and assembling the necessary information from relevant staff using reporting templates;
- Serve as one of the focal points for the audit exercises of the project and provide the relevant documentation and actions to respond to auditors’ questions/requests.
- Risk Management: Identify any actual or potential risks with mitigating actions and advise the Index team lead and Research Coordinator whenever relevant and possible;
- Provide recommendations on ways to improve project implementation systems.

Requisite skills and experience:
The successful candidate will be able to demonstrate the following experience and skills:
- Undergraduate degree in Management, Human Resources, Business Administration or Social Sciences Subject (R)
- Extremely detail oriented and responsible (R)
- Strong proficiency in using the Microsoft Office suite (Word, Excel, PowerPoint), particularly Microsoft Excel (D)
- Ability to work systematically and accurately according to strict deadlines and under pressure (R)
- Strong organisational skills with the ability to undertake multiple tasks and activities in parallel (R)
- Independent, creative and highly motivated (R)
- Excellent communication skills (written and oral), collegiality and ability to work effectively in multi-cultural environment and in a small team (R)
- At least 3 years’ experience in administrative and management support of office operating preferably within international or foreign projects or organizations. (R)
- Fluency in spoken and written English (R). Command of more languages, particularly Spanish or French (D)
