Position Background

The Scaling Urban NbS for Climate Adaptation in Sub-Saharan Africa (SUNCASA) project aims to engage local partners and communities in designing and implementing nature-based solutions (NbS) to support climate adaptation and biodiversity protection in urban communities and watersheds in sub-Saharan Africa. The project also aims to enhance gender-responsive and inclusive governance of NbS in these communities. 

The International Institute for Sustainable Development (IISD) is looking for a Project Assistant to join the SUNCASA Project Management team and perform a range of support and administrative tasks for project managers and other team members. This person is an extremely efficient and organized multitasker looking for an exciting opportunity to work with an outstanding international team. The role has growth potential and is perfect for those who want to broaden their skillset

Responsibilities: 

Project support

  • Assist with the operational planning, monitoring, and implementation of projects and initiatives.
  • Support project managers and the project team with developing the work plan, developing/adjusting the budget, contracting, evaluation, and reporting.
  • Assist in the compilation and formatting of program documents, including proposals, staff resumes, profiles, biographies, etc.
  • Assist with tracking and reconciling project expenses in accordance with IISD’s policies.
  • Assist with coordinating corporate card management and reconciling expenses for team members.
  • Organize and schedule regular team calls and the team calendar.
  • Maintain an effective and reliable filing system as outlined in the records management policy.
  • Assist with the continued development and streamlining of IISD policies and procedures.
  • Assist in the compilation and formatting of documents.
  • Assist in the maintenance and upkeep of program lists and databases.

Event organization and support

  • Participate in planning and organizing conferences, briefings, seminars, workshops, programs, and other initiatives hosted or facilitated by the team.
  • Coordinate meetings, including, but not limited to, scheduling, sourcing venues, catering, preparing invitee lists and invitations, setting up, conference calls, following up with participants, managing participants lists, taking meeting minutes, and disbursing the agenda and related meeting documents.
  • Assist in planning, organizing, and hosting online events, training, and webinars.
  • Assist with booking travel and making other arrangements as necessary.
  • Follow up with team members after events to obtain key meeting information for filing, including agendas, participant lists, and meeting reports.

Requirements

  • 2–3 years of work experience in a relevant role
  • International experience/background preferred
  • Fluency in English
  • Proficiency in Microsoft Office 365
  • Proficiency in Microsoft SharePoint/Teams

Reporting Relationship

The Project Assistant reports to the SUNCASA Senior Project Manager or their designate.

Position Details

Location:  Remote, Johannesburg (South Africa), Kigali (Rwanda) or Dire Dawa (Ethiopia) – Please note that only candidates located in one of these three cities will be considered. 

Candidates must hold an appropriate work authorization for locations where they expect to be based, without any sponsorship from IISD.

 Salary: Salary commensurate with experience and location

Type of employment: Full-time

Duration: 3-year term
