The HR Officer will report to the HR Manager to support the implementation of the full life cycle of HR processes and procedures.
The Challenge
The HR Officer is responsible for ensuring all HR-related administrative tasks are completed in a timely and accurate manner, and provides support & assistance throughout the full lifecycle for all global team members. The key responsibilities of the role include:
- Create and manage job advertisements.
- Assist with monitoring and filling applications and conduct initial screening of CV’s.
- Process incoming applications including acknowledging, decline letters, invitations to interview, setting and arranging interview timetables.
- Ensure selection panel members are informed and provided with the necessary documentation to support the interview / selection processes.
- Administer background checks including references and pre-employment vetting.
- Prepare contracts and other contractual-related documentation.
- Oversee administration relating to the onboarding of new team members.
- Ensure HR files / database are kept up to date and are complete.
- Support updates of HR policies and dissemination.
- Ensure accurate and proper record-keeping of team member information in electronic and digital format.
- Track contract expiry dates for renewal / exit procedures.
- Oversee necessary off-boarding administration.
- Support in compiling HR-related management information / data as required.
- Contribute to the future implementation of an HRIS and going forward ensure system records are kept up to date.
Your Background
- Experience in an INGO or international development environment.
- Minimum of 3 years of proven experience in a similar HR position or a strong administration background.
- Strong interpersonal and communication skills.
- Highly competent administratively; able to manage multiple lines of work and competing demands.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Ability to handle confidential information with discretion and maintain a high level of professionalism.
- Attention to detail and process-oriented.
- Compatible for both independent and team work. A natural self-starter who is proactive and hands-on.
- Proficiency with MS Office and Google Drive.
- Fluent English language skills – verbal and written communication.
