EXCITING JOB OPPORTUNITY: UK FOR UNHCR IS LOOKING FOR AN EXECUTIVE ASSISTANT (SALARY £ 36,300 – £40,000)

JOB PURPOSE
UK for UNHCR (UK4U), the UN Refugee Agency’s national charity partner, is looking for an experienced Executive Assistant to join us at a crucial time in the development of our charity. Now in our 4th year of operation, UK for UNHCR has grown rapidly in response to the acceleration of refugee emergencies around the world, with a mission to support UNHCR’s vital work to provide humanitarian assistance, protection and long-term solutions for refugees. This role provides high-level administrative support and strategic input to the CEO and Board Chair, as well as critical support for Board and Committee meetings.

As part of a collaborative and dynamic team, this is a great opportunity for an administrative professional with experience of supporting senior staff and Boards, ideally in the charity sector. You will bring knowledge of Board governance and best practice as well as facility with executive support functions including email management, liaising with senior stakeholders and donors, drafting correspondence and managing competing diary requests.
You will have a passion for the refugee cause and be able to communicate effectively with multiple stakeholders. You will enjoy developing strong relationships and be able to manage competing priorities to meet deadlines. You will also have excellent organisational and writing skills, attention to detail, and diplomacy and discretion.

United Kingdom for UNHCR is the United Nations Refugee Agency’s national charity partner for the United Kingdom. We generate public awareness of the plight of refugees and raise funds to help protect them through UNHCR’s humanitarian operations across the world.

The funds we raise help UNHCR deliver emergency relief such as shelter, medical care and basic supplies to people fleeing conflict and persecution, as well as healthcare, education and livelihoods opportunities for those who remain displaced over the long term.

Role Responsibilities
· Provide daily support to the CEO with diary management, travel arrangements, prioritising and handling meeting requests, email management including drafting responses, and liaising with colleagues and stakeholders
· Provide periodic support to the Board Chair with meeting requests and logistical arrangements related to her UK4U commitments
· Participate in weekly Senior Management Team (SMT) meetings and provide occasional support for their group activities
· Liaising with the Private Partnerships & Philanthropy (PPH) team around their requests for Trustee support for fundraising initiatives
· Support the Board of Trustees by scheduling and attending Board and Committee meetings, taking minutes, coordinating the preparation of Board papers, and planning Board meetings and workshops
· Serve as the primary point of contact to Trustees for day-to-day matters and preparing a monthly email with content highlights for Trustees
· Organising and updating documents, files and records for the Board, including their secure portal
· Lead on the induction of trustees with input from senior colleagues
Personal Attributes & Experience
Essential Experience and Skills/Knowledge
· Experience of diary management and serving as the focal point internally for a chief executive and/or Chair;
· Ability to interact confidently and build positive working relationships with multiple stakeholders, ranging from colleagues to trustees, donors and family offices;
· Strong research skills and writing abilities, ranging from summarising complex Board discussions to drafting emails and responses for a principal;
· Ability to juggle and prioritise multiple tasks and meet deadlines within a collaborative team environment;
· Strong organisational and administrative skills
· Excellent attention to detail
· Adaptable to last minute changes and challenges
· Able to demonstrate flexibility, with a willingness to respond quickly, particularly at times of humanitarian crisis;

· Able to work autonomously.
· Sound judgment, diplomacy, sensitivity and discretion in handling confidential information;
· Proficient in using Sharepoint, Word, Excel, PowerPoint and Adobe Acrobat.
